Copresco
continues to get feedback on PDF workflow. Here are answers to two important
questions.
Q. If you could only recommend one thing that
would help to make PDF files more likely to print properly, what would it be?
A. Gee, how about three or four things? Okay,
if we must choose one recommendation, it would be this:
First we'll tell you
how. Then we'll explain why.
Here are instructions for
versions 6 & 7. The instructions remain valid for older versions, but if
you are using Distiller 5 or lower versions, it probably won't be a problem
anyway.
Open Acrobat Distiller. You'll see "Adobe PDF
Settings" displayed. Underneath the "Default Settings" pulldown menu, you will
see "Compatibility:" If "Acrobat 3.0 (PDF 1.2)" is displayed, all is well. If
you see higher version numbers (and you probably will), you need to adjust your
settings.
Click "Settings" menu. At the "font" tab, pull
down the "compatibility" menu. Select "Acrobat 3.0 (PDF 1.2)." Press "Save As."
You'll be prompted to save your new setting. Choose a file name you'll
remember, like "Acrobat 3." Click "Save," then "Okay."
Distiller
should now display your new setting file name in the "Default Settings" box.
Below the box it should specify "Compatibility: Acrobat 3.0 (PDF 1.2)."
Use this setting when creating PDF files for print.
Q. Why would anyone want to create a lower or older
version PDF?
A. Because the only reason to use the
latest, greatest version of any software is to use features you need that
aren't available in older versions. In the case of print, many of the latest,
greatest features actually cause the most problems.
The
current PDF version (1.6) supports such diverse "features" as sound and
animation. These features may serve a purpose in some PDF files but only cause
problems for print. Obviously, you can't print sound, so this feature adds
nothing to a print file.
At best, it makes the file much
larger than necessary; at worst, it will be unprintable.
A more practical example may be some of the complex form
tools now incorporated into Acrobat. That may be great for posting electronic
forms on the internet, but it is cumbersome and unpredictable for
printing.
It is not
difficult for skilled professionals to create perfect print files using Acrobat
7 and the PDF 1.6 format.
Downsaving to Acrobat 3 level
is simply an easy way to be sure that none of these problem features are
inadvertently included in your print files.
